What this policy covers
This policy explains what personal information we collect when you use our website (hampshirepaddockmanagement.com), why we collect it, how we use it, and what rights you have. It applies only to this website — when you follow links to other sites, their own privacy policies apply.
The information we collect
We keep data collection to the minimum needed to run the business. Specifically:
When you submit our contact or quote form, we collect:
- Your name
- Your email address
- Your phone number (if you provide it)
- The address or location of the land you're asking about
- Any details you include in your message
When you visit the website, our servers automatically record:
- Your IP address and approximate location (country/region)
- The pages you visit and the date/time of your visit
- Your browser type and device type
This automatic information is used solely for security, fraud prevention, and to keep the site running properly. We do not use it to build profiles of individual visitors.
We do not use third-party analytics, tracking pixels, advertising cookies, or social-media trackers. The only cookies on this website are essential cookies that keep the site functioning correctly. Because we use essential cookies only, no cookie consent banner is required.
Why we use your information
We only use your personal information for the following purposes:
- To respond to your enquiry — providing a quote, arranging a site visit, or answering your question. This is the main reason anyone submits information to us.
- To carry out the work — if you become a customer, we use your contact and address information to schedule, deliver, and invoice for the work.
- To keep records required by law — UK tax law requires us to retain invoice and transaction records for at least six years.
- To keep the website secure — we monitor server logs for suspicious activity.
We do not send marketing emails, we do not sell data, and we do not share enquiries with any third party except the small number of service providers listed below.
Legal basis
Under UK GDPR we rely on the following lawful bases for processing your data:
- Performance of a contract — for processing your information when we provide services you've asked us to provide.
- Legitimate interests — for responding to enquiries and keeping the website secure. We've considered your rights and freedoms and are satisfied that our interests don't override them.
- Legal obligation — for retaining financial records.
Who we share information with
We use a small number of third-party service providers who process data on our behalf. They're bound by contracts and UK GDPR to handle your data only as we instruct them.
| Provider | Purpose | Location |
|---|---|---|
| Supabase | Website database & file storage | EU (Frankfurt) |
| Vercel | Website hosting | EU/UK |
| Resend | Sending emails from contact forms | EU |
Where any of these providers transfer data outside the UK/EEA, they do so under UK-approved safeguards (Standard Contractual Clauses or UK adequacy decisions).
We do not share your information with anyone else, except where required by law.
How long we keep your information
- Enquiries that don't become customers: deleted or anonymised within 12 months of your last contact.
- Customer records (names, addresses, job details): kept for 6 years after the final transaction, in line with HMRC requirements.
- Website server logs: retained for 30 days.
Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you
- Correct data that's wrong or incomplete
- Delete your data (where no legal obligation requires us to keep it)
- Object to our processing, or ask us to restrict it
- Receive a copy of your data in a common format
- Withdraw consent where processing is based on consent
To exercise any of these rights, email tom@hampshirepaddockmanagement.com. We'll respond within 30 days.
If you're unhappy with how we've handled your data, you can complain to the UK Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd ask you to contact us first so we can put things right.
Changes to this policy
We'll update this policy if our practices change. The "last updated" date at the top shows when the current version took effect. Significant changes will be announced on the site.
Children
This website is not directed at children. We don't knowingly collect personal information from anyone under 16.
